A. Information from Our Users (Business Owners)

- Billing Information: Subscription tier, payment status, GST number (for invoicing), payment history.
- Configuration Data: Service details, staff roles/permissions, notification preferences, integration keys (e.g., WhatsApp, Razorpay keys).
- Usage Data: Log files, IP addresses, browser type, pages visited, feature usage (to monitor billing, limits, and improve service).
B. Customer Data (Managed by Our Users)
This is data uploaded or entered by our Users about their end-customers. MicroCRM acts as a Data Processor for this information, and our User (the local business) is the Data Controller.
- Customer Records: Name, Phone, Email, Address, Notes, Appointment history, Invoices.
- Sensitive Data: Specify any planned sensitive data, e.g., Hair Color History, Medical Notes, Fitness Goals.
3. How We Use the Information
- Provide and Maintain Service: To operate the CRM, manage appointments, process billing, and enforce plan limits.
- Communication: To send service updates, security alerts, and administrative messages to Users.
- Feature Fulfillment: To enable SMS/WhatsApp reminders, we use the User's provided Customer Data (phone number, appointment time).
- Security & Compliance: To verify accounts, prevent fraud, and comply with legal obligations in India.
4. Data Sharing and Disclosure
We only share information in the following ways:
- Service Providers: We use third-party tools (e.g., Neon for database, Vercel for hosting, Razorpay for payments, Twilio for SMS) to help operate our Service. These providers are bound by strict contractual obligations to protect your data.
- Legal Requirements: We may disclose information if required by law, subpoena, or government request from Indian authorities.
- Business Transfers: If MicroCRM is involved in a merger, acquisition, or sale of assets, your information may be transferred.
5. Data Security and Retention
We implement reasonable security measures, including data encryption (where applicable, e.g., passwords are hashed), access control, and network security to protect data hosted on our infrastructure. However, no method of transmission over the Internet is 100% secure.
